Marketing Operations Specialist - Analytics, CRM & Tracking - Education Company (Remote)
About Us
Genie Academy is a growing K-12 tutoring and enrichment company based in New Jersey, USA with 7+ locations. We are looking for a Marketing Operations Specialist to manage our analytics/tracking infrastructure and lead our CRM migration from HubSpot to GoHighLevel.
The Role
You are the technical backbone of our marketing. You will fix and maintain our analytics tracking (GA4, GTM, server-side tracking), manage our CRM migration from HubSpot to GoHighLevel, build automation workflows, and ensure tracking continuity during our upcoming website migration. You will work alongside a Digital Marketing Manager who handles ads and SEO day-to-day.
This is a technical, hands-on role. You should be comfortable debugging GTM tags, reading JavaScript console errors, configuring CRM workflows, and troubleshooting attribution issues.
Immediate Priorities (First 2-4 Weeks)
Fix Attribution (CRITICAL):
- Facebook Ads show 237 leads but GA4 shows 0 conversions from Facebook -- fix this
- 106 conversions are unattributed ("not set" source) due to cross-device tracking gaps
- CallRail phone tracking not passing UTM data to GA4 (110 calls with no source)
- User-ID tracking has been implemented in GTM but needs verification and monitoring
Fix Website Performance:
- Debug and fix 60+ JavaScript errors on homepage
- 680 dead clicks on homepage per week (identify sources via heatmaps)
- CLS (layout shift) scores above 0.8 on multiple pages
- Page load times of 7-16 seconds for Facebook mobile traffic (target: under 3 seconds)
- Mobile converts 9x worse than desktop -- identify and fix friction points
Key Responsibilities
-Analytics & Tag Management
- Manage GA4 property: conversion events, custom dimensions, reporting
- Google Tag Manager: tag deployment, triggers, variables, debugging with Preview mode
- Manage Meta Pixel and Conversions API (via Stape server-side tracking)
- Maintain CallRail phone tracking integration with GA4
- Monitor Microsoft Clarity for UX insights (dead clicks, rage clicks, session recordings)
- Create weekly and monthly performance reports
- Troubleshoot cross-device and cross-platform attribution issues
Website & UX
- Debug JavaScript errors affecting key pages (60 on homepage, 45 on blog pages)
- Optimize page load speed (targeting under 3 seconds on mobile)
- Fix CLS (Cumulative Layout Shift) issues across the site
- Improve mobile conversion rates using Clarity session data
- Manage form optimization to reduce abandonment (currently 37%)
CRM Migration (HubSpot to GoHighLevel)
- Lead the full transition of our CRM from HubSpot to GoHighLevel (GHL)
- Set up GHL account structure for multi-location business (7+ NJ locations)
- Configure pipeline: Lead Assessment Booked Assessment Completed Trial Class Enrolled
- Migrate contacts, deals, and pipeline data from HubSpot with all properties
- Preserve UTM attribution data on contacts
- Set up GHL forms on landing pages (replacing HubSpot forms)
- Build automation workflows:
- New lead immediate SMS + email confirmation
- Assessment booking reminder sequence
- Post-assessment follow-up
- Re-engagement for stale leads (30/60/90 days)
- Set up GHL calendar for appointment booking
- Configure SMS consent handling and two-way SMS
- Integrate GHL with CallRail, GA4, and Meta Ads
- Build reporting dashboards in GHL
Website Migration Support (HubSpot CMS to Django/Wagtail)
- Our development team is handling the CMS migration -- your role is marketing/tracking continuity
- Ensure all tracking (GA4, GTM, Meta Pixel, CallRail) is properly implemented on the new site
- Plan and manage URL redirects to preserve SEO rankings
- QA landing pages and forms during migration to prevent conversion drops
- Coordinate DNS/Cloudflare changes during cutover
Reporting
- Build cross-platform reports combining Meta Ads, GA4, GHL, and CallRail data
- Track cost-per-enrollment (not just cost-per-lead)
- Pipeline conversion reporting (lead enrolled, with drop-off by stage)

Required Skills & Experience
- Strong proficiency with GA4 (Google Analytics 4) -- setup, debugging, conversion tracking, reporting
- Experience with Google Tag Manager (tag setup, triggers, variables, debugging with Preview mode)
- Experience with GoHighLevel -- workflows, forms, pipeline management, SMS automation
- Working knowledge of HTML/CSS/JavaScript for debugging
- Experience troubleshooting attribution issues (cross-device, UTM tracking)
- CRM migration experience (HubSpot to GHL or similar)
- Ability to read and interpret analytics data and make data-driven decisions
- Excellent written English communication
- Self-motivated, able to work independently with minimal supervision
- Available for overlap with US Eastern Time (at least 2-3 hours daily)
Preferred Skills
- Experience with server-side tracking (Stape, sGTM)
- Meta Conversions API setup and debugging
- Experience with CallRail or similar call tracking platforms
- Experience with Microsoft Clarity or Hotjar
- Experience with Cloudflare (WAF rules, DNS)
- Page speed optimization (Core Web Vitals, lazy loading, CLS fixes)
- Experience supporting website migrations (preserving SEO, redirects, tracking)
- GHL calendar and appointment booking setup
- Experience with education or local service businesses

- GA4 properly attributing Facebook conversions (currently showing 0)
- All 106 unattributed conversions resolved with proper source tracking
- Homepage JavaScript errors fixed, dead clicks reduced

- GoHighLevel CRM set up with working forms, lead pipeline, and automation workflows
- HubSpot-to-GHL contact migration completed
- Weekly reporting cadence established with cross-platform dashboard
- URL redirect plan and tracking migration plan ready for website cutover
